Privacy Policy

This policy explains what personal data VIA collects when you use our websites, why we collect it, and what you can do about it. It covers viagroup.ai and raif.it.com, the site for the Rome AI Festival.

Who we are

VIA — Visual Innovation Awards organises film and AI events across Europe, including the Rome AI Festival. We are the data controller for the personal data described here. You can reach us at info@viagroup.ai for anything in this policy, including requests to see or delete your data.

What we measure on our websites

We use two separate measurement tools, and they behave very differently. We think the distinction matters, so we describe both.

Our own visitor counter

Our sites run a first-party counter that we built ourselves. It records aggregate daily totals: how many pages were viewed, which pages, how many visitors stayed longer than thirty seconds, how many people clicked through to our ticketing or film-submission partners, and the country the request came from.

It sets no cookies and stores no IP addresses. To avoid counting the same person twice in one day, it creates a short one-way hash from your IP address and browser, salted with a value that changes every day. That hash cannot be reversed, cannot be linked to you, and cannot be connected to the following day’s data. We keep only daily totals — there is no profile of you to look at.

The Meta pixel

The Rome AI Festival site (raif.it.com) also carries the Meta pixel, so we can measure whether our advertising on Facebook and Instagram actually brings people to the site, and so we can show follow-up adverts to people who have visited it. Unlike our own counter, the Meta pixel does set cookies and shares data with Meta Platforms Ireland Limited, who act as an independent controller for that data. Meta’s own policy is at facebook.com/privacy/policy.

We have deliberately switched off Meta’s “Automatic Advanced Matching”, which would otherwise collect email addresses and phone numbers typed into forms. We do not send Meta any contact details.

Where we send you, and what happens there

Two important parts of the festival are run by other companies. When you click through to them you leave our sites, and their privacy policies apply, not ours. We can see that a click happened; we cannot see what you do afterwards.

Email

If you write to us at info@viagroup.ai, we keep your message and address so we can reply and so we have a record of the conversation. We do not add you to a mailing list because you wrote to us.

Hosting and other processors

viagroup.ai runs on Cloudflare. raif.it.com is built and hosted on Framer. Both process technical request data, including IP addresses, in order to serve pages and protect against abuse. Our own counter and its aggregate totals are stored on Cloudflare infrastructure.

Legal basis and how long we keep things

We rely on our legitimate interest in understanding how our sites are used for the aggregate, cookieless counter, since it identifies nobody. Advertising and measurement cookies, including the Meta pixel, rely on your consent, which you can withdraw at any time through your browser or device settings, or by contacting us.

Aggregate site statistics are kept indefinitely because they contain no personal data. Daily de-duplication hashes are discarded and cannot be reconstructed. Email correspondence is kept for as long as it is useful and then deleted.

Your rights

Under the GDPR you may ask us for a copy of your personal data, ask us to correct or delete it, object to processing, or ask us to restrict it. Write to info@viagroup.ai and we will respond within one month. You also have the right to complain to your national data protection authority; in Italy that is the Garante per la protezione dei dati personali.

Because our own counter stores no identifier that points to you, we usually cannot find “your” data in it — there is nothing linking those totals to any individual. For data held by Meta, FilmFreeway or Eventbrite, you will need to contact them directly, and we will help where we can.

Changes

If we change how we handle data we will update this page and change the date at the top.
